Terms of Service
Last updated 30 September 2026
In short
- Accounts are free. The private club tracker is a paid subscription, one per club.
- Your first month is free (one free month per person and per card). Subscriptions renew automatically until you cancel.
- Only enter performers' names and sizes, and only with their family's permission.
- If a subscription ends, club data is deleted after 30 days unless you renew.
- Be respectful in the forum and marketplace. Your rights under Australian Consumer Law always apply.
1. About these terms
CaliHub is run by Altitude Productions (“we”, “us”), based in Victoria, Australia. These terms apply whenever you use CaliHub: the website, the club tracker, the results board, the forum and the marketplace. By creating an account or using CaliHub, you agree to them. If you don't agree, please don't use CaliHub.
Our Privacy Policy and Refund & Cancellation Policy form part of these terms.
2. Your account
- You must be 18 or older to create an account. Performers don't need accounts; clubs record them.
- Give accurate details and keep your password private. You're responsible for what happens in your account.
- One person per account. Don't share accounts; invite committee members to your club instead.
- Tell us straight away at trstnclements@gmail.com if you think someone else has used your account.
3. Club subscriptions
Plans and price
The club tracker (teams, members, sizes, costumes and shortfall warnings) needs a subscription for each club. You can pay monthly or yearly. Prices are in Australian dollars and are shown before you subscribe. Payments are processed by Stripe; we never see or store your full card number.
Free trial
- Your first subscription includes a free trial (currently one month), shown before you subscribe.
- You enter a card to start the trial. You won't be charged if you cancel before the trial ends; otherwise your chosen plan starts and is charged automatically.
- There is one free trial per person and per card. If you or the card you use have already had one, the subscription starts straight away and is charged immediately. We check this using your account, email address and a card identifier provided by Stripe.
Automatic renewal
Subscriptions renew automatically at the end of each month or year, using the card on file, until you cancel. You can cancel at any time from your club's Billing tab; you keep access until the end of the period you've paid for.
Price changes
We may change prices. We'll tell you by email at least 30 days before a change affects your subscription, so you can cancel before it applies.
Failed payments
If a payment fails, Stripe will retry it. If it still can't be collected, the subscription ends and the club becomes read-only (see section 5).
4. Refunds and cancellation
See our Refund & Cancellation Policy. In short: cancel any time, no refunds for part of a period, a 14-day refund window on your first yearly payment, and your rights under the Australian Consumer Law always apply.
5. Club data
What you may enter about performers
Many performers are children. CaliHub is designed to hold as little about them as possible, and you agree to keep it that way:
- Only enter a performer's name, costume and shoe sizes, their teams, and costume fitting notes.
- Don't enter birth dates, ages, contact details, health or medical information, addresses, or anything else about performers.
- Only enter a performer if your club has permission from them or, for a child, their parent or guardian.
- Costume photos must show costumes only. Don't upload photos where performers can be identified.
- Training videos are different: they're expected to show performers doing their routine. Only upload one if your club has permission from every performer in it or, for a child, their parent or guardian, and only for training your own club's members. Videos are uploaded as files and hosted privately by CaliHub — there's no option to link to a public video site, and a video is never visible to anyone outside the club.
Who can see it
Club data is private to the people your club invites, using the code for the right role — committee, coach or parent. Anyone with a code can join at that level, so share each one only with people you trust, and create a new code if it gets out.
When a subscription ends
If a club's subscription ends and isn't renewed, the club becomes read-only for 30 days, and the deletion date is shown in CaliHub. If it isn't renewed within that time, the club and all its data (teams, members, costumes, schedule, videos, jobs and photos) are permanently deleted and can't be recovered. Keep your own copy of anything you need.
6. Community features
Results board
Competition results are entered and corrected by the community. We don't check them against official results and can't promise they're accurate or complete. Always rely on the organiser's official results.
Your posts
You own what you post (results, forum posts, listings and photos). You give us a non-exclusive, royalty-free licence to host, display and share it on CaliHub for as long as it's on the site. Results you enter stay on the results board if you delete your account, shown without your name, because other clubs rely on them.
Rules
When using CaliHub, don't:
- post anything unlawful, abusive, harassing, discriminatory, sexual or threatening;
- share anyone's personal information, or photos of performers, without permission;
- post spam, advertising outside the marketplace, or misleading information;
- impersonate anyone, or try to access accounts or clubs that aren't yours;
- interfere with CaliHub, scrape it, or get around its limits, paywall or free-trial rules.
Anyone can report content they think breaks these rules. We may remove content and suspend or close accounts that break them, usually after a warning unless it's serious.
7. Marketplace
- The marketplace lets people list items and message each other. We aren't part of any sale: we don't handle payments, delivery or returns, and we don't check items or users.
- Buyers and sellers deal directly and are responsible for their own arrangements. Meet in public places and never pay by methods you can't get back if something goes wrong.
- Only list items you own and are allowed to sell, and describe them honestly.
8. Your rights under Australian Consumer Law
Our services come with guarantees that cannot be excluded under the Australian Consumer Law. Nothing in these terms limits those rights. For a major failure with the service, you are entitled to cancel and receive a refund for the unused portion, or to compensation for its reduced value. You are also entitled to compensation for any other reasonably foreseeable loss or damage.
9. Our liability
Subject to section 8, and to the extent the law allows: CaliHub is provided as it is offered from time to time; we aren't liable for indirect or consequential loss; and where the law lets us limit our liability, it is limited to supplying the service again or refunding what you paid us in the 12 months before the claim. We aren't responsible for what other users post, sell or do.
10. Changes, suspension and ending your account
- We may improve or change CaliHub. If a change significantly reduces what a paid subscription includes, you can cancel and receive a pro-rata refund for the unused period.
- We may change these terms. For significant changes we'll give at least 14 days' notice by email or on the site.
- You can delete your account at any time from your Account page.
- We may suspend or close accounts that seriously or repeatedly break these terms.
11. Law and disputes
These terms are governed by the laws of Victoria, Australia. If there's a problem, please contact us first so we can try to fix it. If we can't, the courts of Victoria have jurisdiction.
